1. Who this policy covers
This Privacy Policy explains how Linkwave Technology Inc. collects, uses, discloses, and protects personal information when you visit our websites, create an account, join an organization, use LinkWave products, request support, or otherwise interact with us.
In this policy, “Customer” means the organization or person that owns a LinkWave workspace or subscription. “Authorized User” means a person invited to use a Customer workspace. “Visitor” means a person who visits our websites or contacts us without signing in. “Customer Content” means the project files, addresses, reports, drawings, zoning materials, messages, annotations, prompts, outputs, and other materials submitted to or generated in the service.
If you use LinkWave through an organization, that organization may control the workspace, invite or remove users, view activity in the workspace, manage billing, and determine how Customer Content is used or retained.
2. Information We Collect
Account information: name, email address, password credentials, organization membership, role, avatar, authentication data, account settings, and invitation status.
Workspace and Customer Content: project addresses, parcel and property inputs, feasibility assumptions, zoning data, uploaded studies, PDFs, drawings, code-analysis inputs, reports, exports, chat messages, comments, annotations, source evidence, and files or text you submit or create.
Billing and commercial information: plan, trial, token balance, invoices, payment status, coupon or discount information, subscription events, organization ownership, and related transaction records. Payment-card details are handled by our payment providers and are not intended to be stored directly by LinkWave.
Usage and technical information: IP address, device and browser information, operating system, referring page, pages viewed, actions taken, feature usage, request metadata, timestamps, diagnostics, error logs, session events, and approximate location inferred from network data.
Communications: support requests, feedback, survey responses, legal or administrative messages, and other information you choose to send us.
Third-party and public-source information: property records, zoning references, map data, code references, payment-provider signals, fraud-prevention signals, and integration data where you connect or authorize third-party services.
3. How We Use Information
Provide and operate the service, including authentication, workspace administration, collaboration, uploads, storage, report generation, code analysis, feasibility workflows, exports, billing, support, and service communications.
Maintain and improve the service, including debugging, analytics, performance monitoring, product design, reliability, accessibility, and development of new features.
Protect LinkWave, Customers, Authorized Users, and third parties by detecting abuse, fraud, security incidents, unauthorized access, payment issues, and violations of our terms.
Generate, summarize, classify, compare, search, and analyze Customer Content and related source material when you use LinkWave features that require those operations.
Comply with law, enforce agreements, respond to lawful requests, preserve legal rights, and complete corporate transactions such as financing, merger, acquisition, or sale of assets.
We do not sell Customer Content, uploaded drawings, private reports, or workspace messages for money.
4. AI and automated analysis
LinkWave uses automated systems and AI-assisted tools to help create feasibility studies, code-analysis outputs, summaries, report sections, scenario suggestions, financial-feasibility evidence, document extractions, and chat responses.
When you use those features, prompts, uploaded files, project inputs, retrieved source text, and generated outputs may be processed by LinkWave and by third-party infrastructure or AI providers acting on our behalf.
AI outputs may be incomplete, stale, inaccurate, or based on incomplete source data. They are drafting, research, planning, and workflow aids, not professional advice or official determinations.
Unless a separate written agreement states otherwise, LinkWave may use de-identified, aggregated, or diagnostic information to improve reliability, safety, abuse prevention, and product quality. We do not use Customer Content to sell advertising.
5. How We Share Information
Service providers: hosting, storage, databases, authentication, analytics, email, payment processing, customer support, security, document processing, OCR, AI processing, search, mapping, and other vendors that help us operate LinkWave.
Workspace participants: organization owners, administrators, members, invitees, and collaborators according to the roles, permissions, sharing links, report access, and conversation settings configured in the service.
Third-party integrations and data sources: providers you connect or features you choose to use, such as payment, map, property-data, zoning, building-code, or document-processing services.
Legal and safety recipients: regulators, courts, law enforcement, professional advisers, auditors, insurers, and counterparties where necessary to comply with law, enforce agreements, protect rights, prevent harm, or complete a corporate transaction.
Public or shared content: information may be available to others if you publish, export, share, invite, or otherwise make content available outside your workspace.
6. Cookies and Similar Technologies
We use cookies, local storage, and similar technologies to keep you signed in, remember preferences, operate security features, measure usage, understand performance, and improve the service.
You can control cookies through your browser settings. Some features, including authentication, theme preference, account security, and session continuity, may not work correctly if necessary cookies or local storage are disabled.
7. Data Retention
We retain information for as long as needed to provide the service, maintain accounts and workspaces, preserve business records, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business purposes.
Customer Content may remain in backups, logs, audit trails, or retained business records for a limited period after deletion before it is overwritten or deleted according to ordinary retention practices.
Organization administrators may be able to delete or export certain workspace content. Some information may need to be retained where required by law, billing, security, fraud prevention, or dispute-resolution obligations.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.
You are responsible for protecting account credentials, managing workspace access, reviewing invitations and sharing links, maintaining your own backups where appropriate, and ensuring uploaded materials are suitable for processing in LinkWave.
No internet service is completely secure. If you believe your account or workspace has been compromised, contact us promptly.
9. Your Privacy Choices and Rights
Depending on your location, you may have rights to request access, correction, deletion, portability, restriction, objection, or information about how your personal information is processed.
California residents may have rights under the California Consumer Privacy Act, including rights to know, access, delete, correct, opt out of certain sale or sharing, limit certain sensitive personal-information uses, and not be discriminated against for exercising privacy rights, where those rights apply.
We do not knowingly sell personal information for money. If our use of advertising, analytics, or third-party technologies is considered a sale or sharing under applicable privacy law, we will provide required notices and opt-out mechanisms.
If your information is controlled by a LinkWave Customer, we may direct your request to that Customer or require that you contact the Customer directly.

10. International Users
LinkWave is operated from the United States. If you access the service from outside the United States, your information may be processed in the United States or other jurisdictions where our service providers operate.
Where required, we use appropriate safeguards for international transfers of personal information.
11. Children
The service is intended for professional and business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. If changes are material, we may provide additional notice through the service, by email, or as otherwise required by law.
